ChurchWest exists to help ministries do things right, and that includes how we handle your information. This policy explains what we collect on churchwest.com, why we collect it, who sees it, and the choices you have.
Who we are
ChurchWest Insurance Services, LLC is an insurance agency serving churches, schools, and ministry-based organizations (LIC #0E77991). Our office is at 201 Cajon Street, Redlands, CA 92373. For anything in this policy, reach us at info@churchwest.com or (800) 843-6054.
Scope of this policy
This policy covers personal information collected through churchwest.com. It does not cover information we collect offline or through other channels, and it does not cover information collected by third parties.
Our site links to websites operated by others, such as carrier portals and partner services. We are not responsible for those sites, and a link is not an endorsement. Once you leave churchwest.com, the privacy policy of the site you are visiting applies, and we encourage you to read it.
What we collect
Information you give us. When you request a quote or a certificate of insurance, register for a webinar, download a resource, request a labor poster, or contact us, you may provide your name, email address, phone number, and details about your ministry or organization. We collect only what the form asks for, and each form tells you what happens next.
Information collected automatically. With your consent, we may use non-essential analytics cookies to understand which pages serve ministries well and improve user experience. Nothing optional runs until you allow it in our cookie banner. The full detail, including every cookie, what it does, and how long it lasts, is in our Cookie Policy.
How we use it
- To respond to you, including preparing quotes, issuing certificates, and answering questions.
- To deliver what you asked for, such as resources, webinar access, and poster requests.
- To send helpful ministry-operations content by email, if you've signed up for it. Every email includes an unsubscribe link, and unsubscribing takes effect promptly.
- To improve the site, using the aggregate statistics described above.
We won't spam you or sell your information.
Who we share it with
We share personal information only where it's needed to do the work:
- Insurance carriers and underwriters, when you ask us to prepare a quote or service a policy. That is how insurance gets placed.
- Service providers who run our operations under contract, such as website hosting, our form and email systems (Salesforce), and the AI service that powers our Faith assistant. They may use your information only to provide their service to us.
- When the law requires it, such as responding to a valid legal request.
We do not sell personal information, and we do not share it with third parties for their own advertising.
Faith, our AI assistant
Faith is the AI chat assistant available across churchwest.com. She answers general questions about ministry insurance using ChurchWest's own published content. Faith provides general information only. She doesn't give legal, tax, or insurance advice, quote pricing, interpret your policy, or take claims, and she points you to a human agent for anything specific to your account.
What Faith collects. When you chat with Faith, the messages you type are the information you share. Please don't enter sensitive details such as Social Security numbers, financial account numbers, policy or claim numbers, or health information. You never need them to get a general answer.
How the conversation is handled. The messages you type are used only to answer you during your chat with Faith. Your conversation stays in your browser while the chat is open and is cleared when you close or reload the page, and nothing from it is saved on your device. Faith does not use your conversation to advertise to you, and we do not sell it. The Faith chat window does not set cookies. See our Cookie Policy.

Your California privacy rights
If you're a California resident, the California Consumer Privacy Act (CCPA/CPRA) gives you rights we're glad to honor, and we extend the same treatment to everyone, resident or not:
- Know: ask what personal information we have about you and how we've used it.
- Delete: ask us to delete it, subject to records we're legally required to keep (insurance regulation requires some retention).
- Correct: ask us to fix information that's inaccurate.
- Opt out of sale or sharing: we don't sell or share personal information as the CCPA defines those terms, so there is nothing to opt out of. If that ever changed, we would provide the opt-out first.
- No retaliation: exercising these rights never changes the service or pricing you receive from us.
To exercise any of these, email info@churchwest.com or call (800) 843-6054. We'll verify it's really you, usually by confirming details you've given us before, and respond within the time the law allows, typically 45 days.
We also honor the Global Privacy Control browser signal as a valid opt-out, automatically and with no form required.
How long we keep it
We keep personal information as long as we need it for the purpose you gave it to us and no longer, except where California insurance regulations require us to retain records for a set period. When information is no longer needed, we delete it or de-identify it.
How we protect it
We use reasonable administrative and technical safeguards to protect personal information against loss, theft, and unauthorized access. These include encrypted connections, access limited to the people who need it, and vendors under contract.
Despite our efforts, the security of your personal information cannot be guaranteed. If you have reason to believe your personal information maintained by us is no longer secure, please contact us immediately. In the event of a breach impacting your personal information, we will provide you with proper notification to the extent required by applicable law.
Insurance clients
If your ministry is a ChurchWest client, the information in your insurance applications and policy records is additionally protected under California's insurance privacy laws. This page covers the website; your policy paperwork covers the rest, and your agent can walk you through it anytime.
Children
This site is for ministry leaders and administrators. We don't knowingly collect personal information from anyone under 16. If you believe a child has submitted information to us, contact us and we'll delete it.
Changes to this policy
When we make a meaningful change, we will update the date at the top of this page. If the change affects cookies or tracking, our consent banner will ask for your permission again rather than assume it.
